Online Check-in
Online check-in lets your passengers confirm — a few days before their flight — that they have read your pre-flight information and are ready to fly. This page describes what your passengers see in the UP app. To turn the feature on and configure it, see Online Check-in Settings.
Check-in is done per booking: the contact person checks in for the whole group.
The Invitation
When the check-in window opens, the contact person receives a notification (email, WhatsApp, or both, depending on your settings) containing their personal UP link. Tapping the link takes them straight to their booking page.
Passengers can also just open their booking page directly — the check-in step appears there on its own once the window is open.
In the App
Check-in is shown right inside the flight card on the passenger’s main page. It has three states:
| State | What the passenger sees |
|---|---|
| Not yet open | A small information line under the flight date: “Check-in opens on {{ date }}”. Nothing to do yet. |
| Open | A prominent Check-in now button in the flight card. |
| Checked in | A green ✅ badge — “You’re checked in!” — with the date, replacing the button. |
The Check-in Flow
When the passenger taps Check-in now:
- Passenger details are checked first. If any passenger is still missing a name or a real weight, the app shows “Complete all passenger details before checking in” with a direct link to the passengers page. The passenger fills in the missing details and tries again.
- The instructions appear. Your check-in text (the pre-flight information you configured in settings) is shown on a full screen that the passenger can scroll through.
- The passenger acknowledges. Below the text is a checkbox: “I have read and understood the above information.” The Complete check-in button stays disabled until this box is ticked.
- Confirmation. After tapping Complete check-in, the passenger returns to the main page, which now shows the green checked-in badge.
After Check-in
Once a booking is checked in, the UP app becomes read-only for that booking — exactly the same as when you mark the flight as ready:
- Booking and passenger details can no longer be edited.
- The edit buttons and the flight picker are hidden.
This protects your operational flight plan: passengers cannot change a name or weight after they have checked in. If a genuine correction is needed after check-in, the passenger should contact you and you can adjust the details in the admin app.
The checked-in flight card still clearly shows the flight date, time and meeting location, so the passenger always has their essential details to hand.
